This material is a draft for professional review. It is not legal advice, an approved Chatur Systems policy or a binding contract.
Scope: This draft covers chatursystems.com only. It does not cover Business Solutions or Personal Assistant, which require separate product privacy notices.
Who we are
This website is operated by Imperial Consultancy Ltd, trading as Chatur Systems, a company registered in England and Wales under company number 09059914. Our registered office is 219 Chelmsford Road, Shenfield, Brentwood, England, CM15 8SA.
For the purposes of UK data protection law, Imperial Consultancy Ltd is the controller of the personal data described in this notice.
We have not appointed a formal Data Protection Officer. For any question about this notice or how we handle your personal data, contact trust@chatursystems.com.
What information we collect
Information you give us directly through the contact and investor forms: your name, email address, organisation where provided, enquiry category and message. For investor enquiries, this may also include your firm or organisation, role and, where you choose to provide them, investment focus and how you heard about us.
Technical and security information generated when the site or form is used may include an IP address, browser and device information, and request or server logs. We use this to keep the site secure and working properly, not to profile visitors or for analytics.
We do not currently use analytics or advertising technology on this website, and we do not currently offer website accounts, subscriptions or a newsletter.
What we use it for, and on what legal basis
Different purposes use different lawful bases. The privacy acknowledgement on our forms is a transparency step; it is not consent to marketing or to the processing described here.
Where we rely on legitimate interests, we have considered that responding to an enquiry someone chose to send is proportionate, expected and does not override their rights. You may object to processing based on legitimate interests.
We do not use enquiry information for marketing, add submitters to a mailing list, or make a solely automated decision about them with legal or similarly significant effects.
| What we do | Purpose | Lawful basis |
|---|---|---|
| Respond to general, investor, partnership, press, careers or developer enquiries | Understand and reply to the message | Legitimate interests |
| Handle a privacy or data-rights request | Fulfil a request about the requester's personal data | Legal obligation |
| Handle legal correspondence | Review and respond appropriately | Legitimate interests; a specific legal obligation may also apply |
| Handle a security or vulnerability report | Investigate and, where appropriate, fix the issue | Legitimate interests |
| Keep the website secure and working | Detect abuse and diagnose faults | Legitimate interests |
International transfers
Some providers may process personal data outside the UK. Where that happens, UK data protection law requires an appropriate safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement, EU Standard Contractual Clauses with the UK Addendum, or an applicable certified UK–US data bridge.
The specific mechanism applying to Chatur Systems' use of Vercel and Brevo remains to be confirmed against their current processor terms. This draft does not claim a transfer mechanism that has not been verified.
How long we keep it
We keep website-enquiry data only for as long as needed for the purpose for which it was collected. Retention is currently enforced through mailbox housekeeping rather than a corporate-site database.
| Category | Retention |
|---|---|
| General and partnership enquiries | 12 months from last contact |
| Investor enquiries | 24 months from last contact; an active investor relationship requires a separate decision |
| Careers enquiries | 6 months from receipt where no formal recruitment process exists |
| Privacy or data-rights requests | Correspondence deleted when resolved; a minimal compliance record retained for 3 years |
| Legal correspondence | 6 years from the conclusion of the matter |
| Security or vulnerability reports | 24 months after resolution |
| Website security and server logs | 90 days |
Your rights
Under UK GDPR, you may ask for access to your personal data, correction of inaccurate data, deletion or restriction in certain circumstances, and you may object where processing relies on legitimate interests.
Data portability generally does not apply to the enquiry processing described here because it is based on legitimate interests or legal obligation rather than consent or contract. You may still request a copy through your right of access.
We do not currently rely on consent for this processing, so there is no consent to withdraw. To exercise a right, contact trust@chatursystems.com.
Right to object
Where we rely on legitimate interests, you may object on grounds relating to your particular situation. We will stop unless we can show compelling legitimate grounds that override your interests, or the processing is needed to establish, exercise or defend a legal claim.
Automated decision-making
We do not make decisions about website enquirers using solely automated processing, including profiling, that has a legal or similarly significant effect. Enquiries are reviewed by a person.
Children's data
This corporate and investor information site is aimed at businesses, investors, professionals and adults considering a career with us. It is not directed at children, and we do not knowingly collect children's personal data through it.
How to complain
If you are unhappy with how we have handled your personal data, contact trust@chatursystems.com first so we can investigate.
You may also complain to the Information Commissioner's Office online at ico.org.uk, by telephone on 0303 123 1113 (Monday to Friday, 9am to 5pm), or by post at Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
